REPORTS TO: Executive Director
STATUS: Full Time 30 to 40 hours weekly
SALARY: Pay is Dependent Upon Experience. Starting at $24/hour, DOE

The Kodiak Chamber of Commerce is a nonprofit member driven organization.  The Chamber serves our membership and hosts member and community events for the public that help promote the Chamber’s Mission: Providing business development for an economically strong and diverse Kodiak Region. SUMMARY OF ROLE:
The Financial & Organizational Assistant Is responsible for providing financial administrative support for the Chamber, to the Executive Director and general support for the Chamber programs, services and events. Experience with bookkeeping systems and QuickBooks (the ability to learn if needed) is necessary. Also responsible for assisting with most or all Chamber events and activities along with other support duties as assigned by the Chamber Executive Director.
 
JOB DUTIES:

  1. Performs a broad range of accounting support work & data entry; enters all deposits, credits, fees, expenses, issuing vendor payments, and accounts payable in QuickBooks. Requires detailed and accurate entries.
  2. Must accomplish all accounting procedures in accordance with standard accounting practices and established office practices. Must have the ability to set up systems for accounting, record retention and reporting.
  3. Assists with and is responsible for raffle ticket record keeping, transactions, distribution of raffle tickets, recording, tracking, documenting, filing and organizing all raffle ticket sales, reporting to and working with the Executive Director. Requires detailed and accurate entries.
  4. May require occasional assisting with accounts receivable: billing and processing monthly membership payments using the Chambers’ membership management software.
  5. Examines, verifies, and analyzes a variety of documents to determine their mathematical correctness, validity, and clerical accuracy; maintains files of all correspondence pertaining to financial records and accounting.
  6. Prepares and/or enters a variety of information on a regular basis into applicable documents, spreadsheets, invoices, databases, forms, etc.; assists with record keeping and files documents, alphabetically, numerically, or by other prescribed methods. Organizes and maintains accurate and up-to-date office files and records.
  7. Provide assistance and exceptional customer service via telephone, email or in person.
  8. Provide overall office support to and for Chamber Events, Daily Operations and Programs as requested/as needed by the Executive Director.
  9. Assists entire staff with in-house events and outside events and meetings—set up and tear down. This includes helping with meetings, forums, strategic planning Business After Hours, Ribbon Cutting Ceremonies, Chamber Dinners, ComFish, CrabFest, Community Clean Up Day, a Downtown Trick or Treat and any other events the Chamber may host or be a part of.
  10. Maintain an excellent professional working relationship with members, suppliers, coworkers and the public.
  11. Be a positive brand ambassador for the Chamber.
  12. Performs other duties and responsibilities as assigned by the Executive Director.
 
QUALIFICATIONS:
  • Good knowledge of accounting and bookkeeping procedures.
  • Familiarity with accounting software
  • Strong mathematical skills and dynamic problem-solving skills

  • Chamber employees are in regular daily contact with the public, Chamber members, and other business owners--this requires a professional appearance and a well-developed sense of tact, courtesy, and diplomacy.
  • Advanced proficiency in Microsoft Office applications is required. Experience with Adobe preferred, with CRM software and Canva a plus.

PHYSICAL REQUIREMENTS:
  • Able to stand and walk for extended periods of time
  • Able to carry up to 30 pounds or more
  • Able to stand, kneel, bend at knee, squat, and handle stairs throughout the day
  • Able to sit at a desk comfortably while working on a computer for extended periods of time
QUALIFICATIONS REQUIRED (Minimum):
1. High School Diploma or GED.
2. One year of experience, which demonstrates proficiency in accounting clerical methods and techniques.
3. One year of experience with Microsoft Office applications including basic Excel experience.
4. Occasional lifting of up to 30 lbs. may be required

Preferred (in addition to the minimum):
1. Completion of basic accounting course(s) or equivalent work experience.
2. Two years of accounting clerk experience.
