  • Responsible for maintaining a professional, neat, clean, organized, and efficient office environment.
  • Serves as receptionist; answers telephone in a consistently professional and courteous manner, transfers and announces calls to relevant staff members. Reviews and transfers incoming voicemail messages to appropriate staff.
  • Serves as a first point of contact for the public including Shareholders, customers, partners, and vendors.  Exhibits exceptional customer service skills, greets visitors with a welcoming demeanor, provides information, assistance, and referrals as appropriate.
  • Assists with current and accurate information in Shareholder Database and ensure the integrity of the database and associated files including adhering to established corporate records management practices and schedules.
  • Processes and routes all incoming mail, express mail, packages, and faxes to appropriate staff in a secure and timely manner.
  • Posts all outgoing mail; prepares courier deliveries and special service shipments and is authorized to sign for all delivery items for the company.
  • Maintains logs of all incoming checks and cash receipts, express shipments and certified mail received and sent.
  • Maintains a neat, clean, and well-organized reception area, production room, conference room and workspace; includes cleaning the refrigerator on a regular schedule.
  • Prepares coffee each day including in preparation for any meetings taking place during the day; ensures coffee pots are clean and burners are turned off at the end of each day.  Unloads dishwasher as needed.
  • Responsible for opening and closing the office on workdays.
  • Manages bookings for event and conference spaces.
  • Coordinates travel and meeting arrangements as requested.
  • Provides administrative support to staff located in the Kodiak office; assists in the preparation of meeting and event materials to include but not limited to Shareholder Townhall Meetings, Annual Meetings and other functions and events.
  • Keeps accurate accounting of Petty Cash and submits monthly report with receipts attached and a request for replenishment.
  • Performs filing, copying and fax projects as requested.
  • Provides assistance to Shareholders, their stock recipients, and Descendants.
  • Must possess a valid State of Alaska driver’s license.
  • Provide notary service, Notary Public Commission required.
  • Provide support to Shareholder Services Administrative Assistant, serve as backup when needed.
  • Other duties as assigned.
Knowledge, Skills & Ability:
  • High school diploma required.
  • Excellent customer service skills.
  • Proficient in records maintenance.
  • Established knowledge of office procedures.
  • Proficiency in Microsoft Office Suite.
  • Detail-oriented.
  • Ability to multi-task, prioritize.
  • Ability to anticipate and be proactive.
  • Superb time-management and organizational skills.
  • Excellent interpersonal skills and the ability to communicate effectively with all levels of the organization.
  • Manual dexterity to operate computer keyboard and standard office equipment. 
  • Dependable attendance required.
  • Ability to sit and review information on a computer screen for up to eight hours.
Office Location and Travel:
This position is located in Kodiak, Alaska. 
Occasional travel to other local and out-of-state business sites, conferences and meetings is required.
 
Working Environment & Conditions
This position is primarily indoors, consistent with a standard office position and has a noise level of low to moderate.  The incumbent is required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; talk and hear. The workload may require the incumbent to sit for extended periods of time.  The incumbent must occasionally lift and/or move up to 25 lbs. Specific vision abilities required by the job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
