Village Clinic Administrative Coordinator

This position provides general clerical and administrative support to the Village Medical Provider Clinical Supervisor, maintaining efficient office flow and performing routine administrative tasks as assigned.
 
Essential Duties and Responsibilities:

  • Assist in the development, promotion, coordination, and maintenance of Village Emergency Response Teams; including the arrangement of trainings, participant recruitment, and inter-agency collaboration.

  • Ability to travel to villages periodically for remote work and community engagement in collaboration with village medical team and supervisor. Small plane travel will be required.

  • Coordinate weekly village staff schedule and travel planning; in addition to helping facilitate, and communicate, on-call emergency response and village medevac protocols.

  • Review electronic timesheets to ensure correct entry/designation prior to final supervisor review and approval.

  • Coordinate and participate in the recruitment of Advance Practice Providers, and provide applicants with a direct point of contact for village team inquiries and follow up.

  • Collaborate with Credentialing Specialist in reviewing CHA/P certifications, training and clinical documents per ANTHC CHA/P training center standards.

  • Collaborate with KANA Public Relations to optimize village community communication strategies, approaches, and effective outreach opportunities.

  • Complete planning, coordination, and communication of village site visits from partners, funders, accreditation teams, surveyors, and other health division focused needs.

  • Coordinate outreach efforts with KANA Public Relations to promote Village Emergency Response Team(s) and training.

  • Participate in inventory procurement and inventory tracking for village clinics; assist designated CHA/P with process.

  • Manage the reconciliation of department purchase card(s), and prepare and submit accounting related documents for processing by Finance Department in a timely and accurate manner.

  • Receive, separate, and process mail and postage as requested.

  • Compose and prepare confidential written correspondence, agendas, reports, and other documents.

Supervisory Responsibilities:
This job has no supervisory responsibilities.

Job Requirements:
High School education or equivalent. Two (2) years relevant experience working with the public in a clerical capacity. Associates Degree in related field preferred.

To perform this job successfully, an individual should be proficient in, and have strong working knowledge of, Microsoft Office Suite (Outlook, Excel, Word, etc.); ability to learn proprietary software; and the ability to create a variety of reports as requested.
